Chatbot is the name for a software program that automatically holds conversations with visitors through a chat window. It answers questions, points to the right page or colleague, and in many cases captures leads, without someone having to be on standby each time.

Rule-based or AI-driven?

Not every chatbot is equally smart. A rule-based chatbot follows a fixed script with buttons and predefined answers: predictable and reliable, but clumsy as soon as a question falls outside the script. An AI-driven chatbot runs on conversational AI and a large language model, understands through natural language processing what someone freely types, and formulates an answer itself. The choice depends on your goal:

  • Rule-based: simple FAQs, qualification questions, fixed flows.
  • AI-driven: open questions, complex material, more natural conversation.

Why it matters in B2B

In B2B the chatbot is mainly an instrument for lead capture and first-line support. A visitor who lands on your site in the evening can immediately ask a question and leave their details, instead of clicking away. Coupled to an AI agent, the bot can schedule appointments or pull data from your CRM. That way you catch interest at the moment it is highest.

The pitfall

A chatbot that only dodges questions or talks in circles actively drives prospects away. So do not measure how many conversations the bot holds, but how many qualified leads and how much revenue come out of it. Always ensure a smooth handover to a human when the conversation gets stuck. A bot is a tool, not a wall between you and your customer.
