Should you respond to Google reviews? Yes: to every review, positive and negative. You do it in your Google Business Profile: click “Read reviews”, choose “Reply” next to the review, write your response and post it. The short answer on how to respond: say thank you, refer to something specific from the review and keep it short. With criticism, you acknowledge the problem, explain without getting defensive what you are doing about it and invite the customer to continue the conversation offline. Below you will find 12 reply templates you can adapt, for every situation you run into in practice.

Why responding to reviews is worth the effort

A reply under a review is visible to everyone who looks at your profile. So you are not only writing it for the customer who posted the review, but above all for the twenty people who read it later before they decide whether to call you or the competitor.

In its tips for improving your local ranking, Google says literally that replying to reviews shows you value feedback, and that positive reviews and helpful replies can make your business stand out. Customers expect it too: in BrightLocal’s Local Consumer Review Survey 2025, 63% of consumers expect a response within two to three days up to a week.

There is a practical advantage as well. According to Google, the reviewer gets a notification when you reply, and can still edit their review afterwards. A good reply to a critical review therefore sometimes leads to a revised rating.

How do you respond to a Google review? (steps)

  1. Search for your business name in Google while logged in with the account that manages your profile, or open your profile in the Google Maps app.
  2. Click Read reviews. You will see all reviews, newest first.
  3. Click Reply next to the review and type your response.
  4. Click Post reply.

Google checks every reply against its content policy before it appears. That usually takes up to 10 minutes, sometimes up to 30 days. A reply you want to change later can be edited or deleted with the same button under your response.

Google points in the same direction in its own tips for reviews: be professional and polite, do not send everyone the same thank-you, and focus on reviews where you can give a useful update or answer rather than a promotion.

Reply templates for positive reviews

With positive reviews, the trap is the standard “Thanks for your review!”. It reads as automated. Take ten seconds to pick up something from the review.

1. Five stars with specific text

2. Five stars without text

Reply templates for neutral reviews (three stars)

A three-star review often comes from a customer who was almost satisfied. That is where there is the most to gain.

5. “Good, but nothing special”

Thanks for your feedback, James. We would love to hear what would have made the difference for four or five stars. Would you let us know at info@example.com? We genuinely use those responses to improve what we offer.

6. Criticism of the price

Thank you for your review, Anna. Our price is higher than some providers because we only work with certified materials and give a five-year guarantee. We understand that is not the right choice for everyone, and we are happy to explain it more clearly up front.

Reply templates for negative reviews

11. Review from someone who is not a customer

We cannot find an appointment or order in our records that matches this description. Could there be a mix-up with another business? Please get in touch at info@example.com and we will sort it out together.

12. Review in another language

If you serve a multilingual market (in Belgium, for example, reviews come in Dutch, French and English), reply in the language of the review:

How quickly should you respond?

Aim for two working days for negative reviews and a week for positive ones. Turn on notifications for new reviews in your profile settings, so you do not have to check every day. If you get a lot of reviews, agree internally who replies and which tone you use, so it does not depend on whoever happens to remember.

Can you use AI to respond to reviews?

Yes, as an aid. An AI tool can suggest a first draft, especially when you get lots of positive reviews. Do read every reply, though: AI easily makes up details that are not true, and a series of near-identical replies stands out to anyone reading your profile. Frequently asked questions about responding to Google reviews

Should I respond to every Google review? Yes, certainly to every review with text, and preferably also to star-only reviews. A short, personal reply shows that someone is reading along.

Can the customer change their review after my reply? Yes. The reviewer gets a notification of your reply and can edit their review afterwards. The date of the review then changes to the date of the latest edit.

Why does my reply not appear straight away? Google checks every reply against its content policy. That usually takes up to 10 minutes, but it can take up to 30 days.

Can I offer a discount in my reply to get a negative review removed? No. Google explicitly prohibits offering anything in exchange for posting, changing or removing a review. Do offer a conversation to solve the problem.

Can I change a reply afterwards? Yes. Open the review in your profile and choose Edit or Delete under your reply.
