Comparing cold email software quickly turns into ticking off a feature list. Yet the tool is rarely what makes the difference between a send that gets replies and one that disappears into the spam folder. Reporting that is about pipeline. Most tools proudly show open and click rates on the dashboard. Those numbers say little now that inboxes pre-load links and pollute opens. What you want to know: how many replies, how many conversations, how many qualified opportunities. Can the tool connect that to your CRM so you can track lead-to-deal?
Integration with your CRM. An email that gets a reply is only valuable if the lead lands neatly in your sales process. A tool that does not write cleanly to your CRM produces scattered data and missed follow-up.
What you should not compare on
Just as important: the criteria that shine in demos but deliver little in practice.
The exact number of templates in the library does not matter; you write your best emails yourself. A built-in database with millions of contacts sounds impressive, but generic lists produce generic replies and put your deliverability at risk. AI that generates an email in a second is nice for a first draft, but the emails that work are precisely the ones that do not sound like AI output.
